Cancer Registry Manager

The Cancer Registry Manager is an Oncology Data Specialist-Certified/(ODS-C) Certified Tumor Registrar (CTR) with a high level of proficiency in the operation of a tumor registry necessary for the oversight and direction of the Oncology Registry Team for Great Lakes Health (Kaleida Health and ECMC), and Cancer Registry strategic operations for all Kaleida Health and ECMC facilities. The Cancer Registry Manager will also have collaborative input into the local region's cancer programs. Ensures duties are performed accurately and efficiently following all applicable rules, regulations, and policies.

Essential Functions:

  • Consistently observes safety and security procedures.  Reports potentially unsafe conditions to appropriate personnel.
  • Manages the daily Oncology Registry operations, including workflow and abstracting of reportable cases, within the timeframe dictated by the Commission on Cancer (CoC), National Accreditation Program for Breast Centers (NAPBC), New York State Cancer Registry (NYSCR), and any future accreditations.
  • Manages the monitoring of follow-up activities for analytic cases to ensure compliance.
  • Interfaces with various departments to ensure that cancer-related information is available for the Cancer Registry promptly.
  • Develops, edits, improves, and reviews policies and procedures utilized in the Cancer Registry Team for GLIN IPA.
  • Manages the set-up and ongoing operations of the Cancer Registry system-wide. Manages the workflows and ensures that Cancer Registry services are carried out on all campuses in accordance with applicable policies and procedures, as well as CoC, NAPBC, and New York State requirements.
  • Serves as the subject matter expert on Cancer Registry providing education to registry staff, medical staff, organizational staff, etc. Represents Cancer Registry at internal and external meetings as required. Serves on committees as required.
  • Ensures compliance with the accreditation standards (CoC) for an approved Cancer Program as established by the American College of Surgeons (ACoS) on an annual basis.
  • Responsible for preparing and assisting in coordinating the accreditation survey for applicable cancer registry standards.
  • Reports registry activities to the cancer committee as outlined in the CoC standards.
  • Assists the medical staff and administration in planning, developing, coordinating, and implementing new programs to enhance the Cancer Program.
  • Works with hospital staff to review facility data through CoC, NAPBC, and NYSCR tools, identifying needs for data review and improvements.
  • Monitors the computerized cancer data management system to ensure completeness and accuracy in reporting of the hospital’s reportable cases. 
  • Ensures that all computer upgrades received from the software vendors are loaded and working properly. Interfaces with Information Systems to ensure that all Cancer Registry computer functions and enhancements are working properly. Maintains documentation and monitors submissions to the PRQ as directed by the ACoS throughout the year.
  • Ensures data submissions to NCDB are timely and accurate.
  • Ensures data submission to the New York Cancer Registry on a monthly basis.
  • Provides narrative and statistical reports for administration and the medical staff for use in program planning, development, and end-results studies.
  • Responsible for the monitoring of the quality and proficiency of the Cancer Registry staff. Serves as a mentor to staff and provides performance feedback and coaching for success at regular intervals. Collaborates within the matrix to assure staff performance and provides training if necessary. Performs employee validations of required job duties/responsibilities.  Assist in the creation of retention strategies for ODS-C staff.
  • Assist in hiring new employees. Build and maintain productive inter/intra-departmental and vendor work relationships to optimize operations. Accountable for meeting and managing departmental goals.
  • Working knowledge of Microsoft Office Suite to include advanced functions. Knowledge of internet and intranet functions.
  • Apply process improvement principles to guide and support improvement initiatives.  Regularly meet with interdisciplinary teams to provide concise, data findings and outcomes for potential process improvements.
  • Assumes responsibility for professional development by participating in workshops, conferences, and/or in-services and maintains appropriate records of participation.
  • Follows GLIN PA policies, procedures, applicable laws, and standards; carries out the mission, vision, and standards of excellence and quality commitment of the organization.

Education and Experience/Certification or License:

Education

  • National Cancer Registrar Association (NCRA) Oncology Data Specialist Certification (ODS-C)
  • Bachelor of Science – Health Information or Similar
  • Associate of Applied Sciences – Cancer Information Management or Similar 

Experience/Certification

  • Five (5) Years of experience in Cancer Registry
  • Three (3) Years of experience in supervision of ODS-C within the past five (5) years

Pay range $115,000 - $125,000

The referenced pay range represents the minimum and maximum compensation for this job.  Individual annual salaries/hourly rates will be set within the job’s compensation range and determined by considering factors including, but not limited to, market data, education, experience, qualifications, and expertise of the individual, as well as internal equity considerations.
